Visualize, monitor, and manage fleet operations

The Operations module is the core of the IMOS system. From fleet and vessel scheduling to voyage management and monitoring, Operations provides a graphical interface that helps managers visualize and evaluate their fleet operations. The Operations module can link to external systems so organizations can benefit from automatic entry of position reports, bunkers, disbursements, and other data.

Fleet/Vessel Schedule
Vessel Schedule serves as a front-end to the Operations module for accessing and updating vessel and voyage information—as well as for producing invoices and reports. This graphical interface displays the voyages of each vessel on a scrolling, three-month timeline. Scalable, color-coded bars indicate the identification number of the vessel voyage and provide a complete, vivid picture of the fleet status. A blue vertical line reflects the current voyages. Vessel Schedule provides access to many fleet-wide functions such as vessel detail, Time Charter Payment schedules and numerous analytical reports. The schedule view may be filtered by user-defined vessel groups.

The Voyage Manager
The Voyage Manager displays the current voyage schedule and provides access to all voyage related functions. A summary tree allows users to view and access all associated reports, documents, revenues and expenses at a glance. At any time during the voyage progress, the user may create and print a Voyage Profit and Loss report to show the original estimate, current actuals, and the difference between the two. This report enables Operations Management to monitor current voyage results and take action while there is time to act.

Voyage Manager Functions:

  • Port Activity Details
  • Cargo Handling
  • Bunker Inquiries
  • Voyage Profit/Loss Report
  • Comparison to Charter Party terms
  • Instant access to the Fixture Note and Time Charter details
  • Daily Noon Reports
  • Port Disbursements
  • Bunker Purchases
  • Performance Analysis
  • 3rd-party file attachments
  • Ability to import position reports from suppliers like Purplefinder

Operations

Freight and Commission Billing
Voyage View links to the cargo loading activity screen where the cargo quantity loaded/discharged is entered. A freight invoice is prepared as soon as the cargo is loaded. The invoice is printed in a ready-to-mail or e-mail format and the information is forwarded to the Financials module for posting.

Port Cost Management
This sub-module manages all port expenses, from receiving a pro forma invoice from the agency to processing and posting disbursements to Financials. Disbursements are also entered here and compared to original estimates for performance monitoring. The sub-module also has the ability to link to providers such as DA Desk for automatic entry of disbursements.

Bunker Management
Bunker Management projects bunker consumption and arrival/departure ROB levels for each scheduled voyage. It also contains functionality for competitive bidding for bunker purchasing, bunker consumption report generation, and budget projections.

Time Charter-In/Out
This sub-module manages Time Charters from delivery to redelivery. It sets up the time charter control information and records the time charter party terms, hire schedule, options and warranties. The system interactively prepares a Time Charter hire payment/receipt schedule as well as creates, checks, and prints invoices. The information is then forwarded to Financials for posting. At redelivery, the system prepares the Final Hire Statement.

Laytime Calculations
The Laytime sub-module inherits port activity information from the Vessel Operations monitoring system and Laytime terms from the Fixture Note. It then calculates and prepares the demurrage/dispatch statements.

Pooling (add-on)
The Pooling sub-module allocates vessels to pools using user-defined point assignments. At any time, you can access reports that show the performance of a pool over time. The reports take into account delay and off-hire information, as well as dates of vessel entry and exit from the pool. A built-in link to Excel facilitates further analysis of the reports.

Demurrage Overview (add-on)
Establish an efficient demurrage workflow with this add-on capability, which creates an overview of pending demurrage claims—both payable and receivable—and enables faster demurrage claim processing.

"UPT picked IMOS for all our chartering, operations, accounting and administrative work routines. The system links UPT and partner offices in Germany and Cyprus. IMOS was picked after thorough analysis of the alternatives. Today our benefits from IMOS include: more effective work routines, availability of ′real time′ financial information and excellent support from Veson Nautical."
